Can you create a reliable CRM with one prompt over a weekend?
Probably not.
I keep seeing social media posts from people claiming they have used AI to build their own CRM. They often make it sound like they typed one prompt, waited a few minutes and replaced Salesforce.
AI has made creating web apps and internal tools much easier. A basic system for storing contacts, adding notes and creating tasks is relatively straightforward.
But a proper CRM quickly becomes much more than that.
You need to think about:
- Customers, contacts, projects and tasks
- User roles and permissions
- Search, filters and reporting
- Notifications and reminders
- Email and calendar integrations
- Automation workflows
- Security, backups and audit trails
- GDPR and data retention
- Mobile usability
- Error handling and recovery
- Updates without breaking existing data
Then every new feature creates more edge cases, dependencies and maintenance.
I have spent more than 13 years managing and maintaining CRM systems, this brings a lot of experience which you are unlikely to have if vibe coding your first CRM..
The current AI built version of WI1 is now on version 203, yep, 203 different versions of the CRM to make sure I get the correct results. I would say only 25% of those would have been bug fixes. Those versions were created over months, not from a single prompt.
AI has helped enormously. It can write code, investigate bugs, suggest improvements, create tests and speed up development.
But someone still needs to understand how the system should work, decide what gets built, how it all fits together, test the results and maintain it afterwards.
WI1 was built with AI at its core, if a human task could be helped by AI, it would. If you create a task your own AI assistant is already working on the job as soon as the task is saved.
If the task requires research or is long running, it would send it to one of the connected hermes PC’s or VPS. Everything is controlled from one location.
Understanding this structure and passing it on to your AI coder of choice takes time.
Building your own CRM with AI is absolutely possible, especially when you need something designed around the way your business actually operates.
Just do not confuse possible with instant.
AI reduces the amount of work.
It does not remove the need for experience, planning, testing and ongoing maintenance.
